Billing was the biggest pain point: consolidating completed jobs, rates, surcharges, and proof-of-delivery into invoices took up to five working days, delaying cash collection and generating frequent disputes. Job data lived in the TMS while rates and customer accounts lived in finance, so admin staff manually reconciled the two, introducing errors. There was no single dashboard for dispatchers to see live job status, and reporting on route profitability was effectively impossible. The client needed a solution that fitted its existing TMS rather than replacing it, integrated cleanly with Business Central, and could handle complex, client-specific rate cards and accessorial charges without constant manual adjustment.

PapaSiddhi built a custom web platform using React and Next.js with a Node.js backend, giving dispatch and admin teams a single interface for jobs, rate cards, and billing. We integrated it with the client's existing TMS to pull live job and proof-of-delivery data, and built a Business Central AL extension plus an OData and REST integration layer so that completed, priced jobs flow straight into Business Central as draft invoices. Complex client-specific rate cards, fuel surcharges, and accessorial charges were modelled in the platform so pricing is applied automatically and consistently. Dispatchers gained a real-time job-status dashboard, and finance received a clean, reviewable invoice queue instead of a manual reconciliation exercise. We migrated existing customer and rate data, ran parallel billing to validate accuracy against historical invoices, and provided training and post-launch support.
